At Sci4Us we respect the privacy of the children attending our sessions, parents or carers and also those who visit our website. The personal information that we collect is used for us to maintain our service to you and communicate with you effectively. Our lawful basis for processing the personal information relating to you and your child is so that we can fulfil our contract with you.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Booking Form

We will hold and use the information provided to us on the booking form. The purpose of holding and using this information is to allow you to reserve or cancel your session space.

When you sign up to one of our services, your information details are stored to allow us to contact you with anything regarding to the service you have signed up for.

We will also use your information details to send you any other relevant communication which may be of interest. This may include information regarding an upcoming event or any other relevant news. If you book onto a group session, your details will be used as part of a a group email circulation, however if you prefer we can contact you individually. Data that is no longer required* is erased immediately.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

We do not share any personal data provided on this website with anyone.

We use a third party booking system, Bookwhen and this is integrated into our website. Bookwhen’s privacy policy can be found at https://bookwhen.com/privacy

For those who use any of our services, we will only share personal information about you or your child with another organisation if we:

  • have a safeguarding concern about your child
  • are required to by government bodies or law enforcement agencies
  • have obtained your prior permission.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you sign up to one of our services using the booking form, your details are displayed and are accessible until the course is completed.

Children who attend a minimum of 2 classes will have their details removed within one year of that first attendance.

Children who attend 3 or more classes will have their details removed after 6 years of inactivity.

What rights you have over your data

You have the right to ask to see the data that we have about yourself or your child and to ask for any errors to be corrected. We will respond to all such a requests within one month. You can ask for the data to be deleted, but please note that:

  • we will not be able to continue to care for your child if we do not have sufficient information about them
  • even after your child has left our club, we have a statutory duty to retain some types of data for specific periods of time so we won’t be able to delete everything immediately.
